NEW E-MAIL SERVICE

The new U-connect e-mail service replaced the previous system on 6 August 2001. Eudora and POP can still be used, but some settings should be changed and new options are available. (Read more.)

POP MAIL HINTS

Following these simple suggestions will help insure that you and our entire community will receive the best possible mail service.

  1. Be sure that your Eudora is not polling for mail too often. Eudora is normally set to automatically check for new mail at regular intervals (this is called polling) and a large number of people checking for mail in a short period of time will slow down the mail process and delay mail for everyone. Please don't poll more often than every 15 to 20 minutes.

    To check your setting go to Eudora's Special menu and select Settings. Click on Checking Mail and look for the item "Check for mail every xxx minutes". Make sure this setting is at least 15 minutes.

    Also be sure that you don't have more than one program checking your mail. For example, many Web browsers, such as Netscape Navigator, can read POP mail and if you are running Eudora and a Web browser they could both be polling the POP server. Check your browser's option or preferences settings.

  2. Don't leave your mail on the server unnecessarily. Keeping large mailboxes on the server will slow down the process that adds your incoming mail, slow the check for new mail, and increase the time it takes to read your mail. When you download mail to your workstation you both improve your own service time and reduce the load on the server that is shared by all POP clients.

    To check your setting go to your Eudora's Special menu and select Settings. Click on Checking Mail and look for the item "Leave on server for xxx days." If this item is not checked then Eudora will not leave a copy of your mail on the server after it downloads it to your workstation. We recommend that this setting not be checked. If you must leave your mail on the server so you can read it from other locations then please keep the number of days as short as possible and please delete mail you don't need to see again. Note that any read mail left on the server for more than seven days and unread mail older than 30 days will be automatically erased from the POP server, regardless of this setting. This is in accordance with University policy.

  3. Don't send very large attachments unnecessarily. The number and size of attachments sent with e-mail has increased dramatically and is taxing the capacity of the e-mail system. Use discretion and avoid sending large attachments that can be handled in some other way, particularly large files that are purely of a recreational or entertainment nature.

  4. Try to avoid sending duplicate copies of your e-mail. Eudora may come configured to send two copies of all of your outgoing mail if you used styled text - the styled version and another as plain text. This more than doubles the load on the network and mail servers. It is best to disable styled text entirely and send only plain text - many mail systems are unable to handle the styled text. If you absolutely must send styled text it is better to send it using the enriched text form than as HTML.

    To change these settings go to Eudora's Special menu and select Settings. Click on Styled Text. The best choice in most cases is "Send plain text mail only."
